Your expertise built the firm. Now it holds it back.

Your name is on the door. Every file still crosses your desk.

We work inside your firm, with your team, so new instructions, supervision, billing and hiring stop depending on you alone.

Where a law firm loses time between enquiry and cash

Client story to follow.

How it works

Five stages. Most firms start with one area, and you approve each stage.

This is a change in how your firm works, not an IT project. Partners, fee earners, support staff, procedures and tools move together, and your business targets stay in view from start to finish.

01
2 weeks

Diagnose

We find out where the firm depends on you, and why.

What happens
  • We interview you, your partners and key staff, and follow how a matter really moves, from first enquiry to paid bill. We plan around your fee earners' chargeable time.
  • Where it helps, we make a quick concept or prototype of the fix, so you can see it before you commit.
  • You get a short written report, the Constraint Brief: what holds the firm back, and what to fix first.
02
2 to 4 weeks

Design

Together we design how the firm will run, and the order to build it in.

What happens
  • Built on what works in well-run law firms, scaled to your size and practice mix, and fitted to your constraints: your people, budget, clients, regulator and time.
  • People, procedures and tools designed together: who decides, supervises and signs off what, how matters flow, and which tools and AI support it.
  • We agree the business targets up front, such as partner hours, turnaround, lock-up or realisation, and how we will measure them.
  • You get the design, a business case and a step-by-step plan.
03
4 to 12 weeks

Build

We build it inside the firm, with your team.

What happens
  • Your people help shape the new way of working, so nothing comes as a surprise when it goes live.
  • We write the new procedures together, in your team's words, ready for your office manual, and set up the tools to match.
  • We check every step against the business targets we agreed, not only against the plan.
  • We stay alongside your team until they are comfortable running it.
04
2 to 6 weeks

Go live and settle in

We switch to the new way of working, one careful step at a time.

What happens
  • Prepare. Final procedures, training and clear roles, so everyone knows what changes for them.
  • Dry run. We test it on real matters before anyone switches over.
  • Go live. We are there through the switch and the first weeks, to answer questions and fix what does not work.
  • Track. We watch the business targets and the day-to-day numbers every week.
  • Review. Regular reviews of progress, results and how the team feels, then we adjust until it holds.

Your team runs it

It no longer depends on us, or on you.

What happens
  • Each part has an owner in your team, with the procedures and the numbers to run it.
  • You see how the firm is doing without chasing people for updates, and you can take time off.
About

15 years inside growing firms.

For 15 years we have worked inside firms that grew faster than their way of working. In an owner-led law firm it usually looks like this: new instructions, sign-off and bills all go through the managing partner, and nobody inside the firm has the time to fix it.

Large consultancies rarely work with firms of this size, legal tech vendors sell software rather than change, and coaches do not build. We work out what needs to change, and then we build it with your team.

Why work with us?

You work with the same senior adviser, from diagnosis to build. Supervision and client confidentiality stay where they belong: with you and your firm. If you are the bottleneck, we will tell you.

Our background

Is this your firm?

  • Every client care letter and every bill waits for your sign-offThe team prepares the work, then it queues on your desk.
  • Associates bring you questions they could answer themselvesNobody has written down which decisions need a partner, so everything does.
  • Your inbox is full of operational emailIntake, diary clashes, billing queries and chasers that someone else should handle.
  • Bills go out when you find the timeWork in progress builds up, and cash comes in late.
  • You could not take two weeks offNot without clients calling your mobile.
  • You worry that letting go means losing sightIf you hand over more, you fear you will not know what is going on, or that a file will go wrong.
  • Nobody is lined up to take overYour best associates are not sure they want to become partner.

FAQ

Questions managing partners ask

What is owner dependency in a law firm?

It is when new instructions, supervision, sign-off and the key client relationships all go through one or two partners. The firm can only grow as far as their hours. It also makes it hard to step back, bring in new partners or sell: a buyer or incoming partner will pay less for a firm that only works with you in it, or tie you in for longer.

Is this for my firm?

It is for owner-led law firms of 5 to 200 people where the managing partner is still the bottleneck: commercial, regulatory, private client, employment, real estate and disputes practices. A quick test: if you stepped away for three months, would the firm be in serious trouble?

Have you worked with a law firm before?

Yes. Our recent client work is with Hyde & Associates, a boutique law firm: the recruitment work on this page, the Frequency Explorer, and the enquiry-to-cash work now under way.

How do you handle confidentiality and client data?

We sign your confidentiality agreement before we start. To map how work flows we rarely need to read client files. Where we do, we work on your systems and under your rules. No client information goes into any AI tool your firm has not approved, and we work alongside your COLP and COFA.

What happens when I book time with you?

We start with a free consultation by video, about an hour long. You map where new instructions, supervision and bills depend on you, and we help you see what is behind it. You leave knowing what to fix first.

How much of my team's time will this take?

Most of it falls in Diagnose and in the dry run before go-live. Before each stage we tell you the hours we need from you, your partners and your staff, and we plan sessions around chargeable work and court dates.

What does it cost?

The self-assessment and the first consultation are free. Paid work starts with Diagnose. We quote a fee after the consultation, once we both know the size of the problem, and you decide before any work starts. You can stop after Diagnose and keep the report.

Are you a business coach or a legal tech vendor?

Neither. We do not work on your mindset, and we do not sell software or a ready-made system. We build how your firm runs, with your team.

Do you use AI?

Yes, but only where it is safe and only with tools your firm has approved. We help you write a short AI policy: which tools, for which work, what must never go in, and who checks the output. A person makes every decision that matters and stays responsible for it, as legal regulators expect.

Where are you based, and who do I contract with?

We are based in the Netherlands and work with firms in Europe, the UK and Asia Pacific. Steady State is a part of Brightwise Pte. Ltd., a company registered in Singapore, and that is the company you contract with.

From admin-heavy to people-centric recruitment

Hiring at Hyde & Associates ran on admin: CVs read by hand, interviews arranged by email, and the owner meeting every candidate. We helped the firm hand the admin to AI tools under written rules. The recruitment lead now spends her time with candidates, and the owner meets only the shortlist.

10 → 3.5owner interviews per hire: 30 for three hires in 2024, seven for two in 2026
0 → 17hrecruitment lead time with candidates per vacancy

Hyde filled two associate roles from a single vacancy. The recruitment lead now spends about half of her recruiting time talking to candidates rather than handling paperwork. Because the people who reach the owner are better screened, he meets about a third as many per hire.

What was going wrong

AreaWhat we found
IntakeEach vacancy posted by hand on five to eight job sites, each with its own login. No presence on LinkedIn.
ScreeningEvery CV opened by hand, 2 to 10 minutes each: 30 to 50 hours per vacancy. Candidates judged mostly on feel.
SelectionThe owner interviewed every candidate, usually for 90 minutes or more. In 2024 he held 30 interviews to hire three lawyers.
CoordinationCVs zipped and emailed. Interviews arranged by hand across European and Asian time zones.
Definition of goodThe owner valued independent judgement and legal reasoning, but nobody tested either before probation.
MemoryNo talent pool. Good runners-up were lost after every round.

The cost: the firm judged three of its five hires since 2024 to have been avoidable, at around €25,000 each in salary, onboarding and recruitment time.

What we did

  1. Put numbers on the old process. Two interviews and a simple business case for what hiring cost the firm, in money and owner time.
  2. Kept the scope tight. Mapped the whole employee journey, then focused on the steps before the hiring decision, where the time and the risk sat.
  3. Agreed what a good hire looks like. Turned the owner's view of a strong hire into knockout questions, a scoring rubric and signs to look for.
  4. Built case-study interviews for both roles, with a structured scorecard and planned curveballs that test what past hires were missing.
  5. Chose the tool to fit the process. Twenty weighted requirements and scripted vendor demos, such as screening 500 CVs. Hyde chose Workable.
  6. Moved people's time to the end of the funnel. Machines clear the obvious mismatches. People only meet the shortlist. A first interview with the recruitment lead now comes before the owner's final interview.
  7. Added an AI scoring layer. Claude, connected to the platform, scored 160 candidates against the firm's own criteria and quoted evidence for every score.
  8. Set rules for the AI and wrote down the process. A ten-section operating manual, owned by the recruitment lead.
  9. Checked the results against the evidence. Platform records compared with the March business case, including what did not work.

Ana Domingos, Recruitment Lead, Hyde & Associates

What we would tell another owner

  1. Agree what good looks like before you buy anything. A tool set up around a vague profile finds the wrong people faster.
  2. Move people's time from the start of the funnel to the end. Your busiest person should only meet candidates who passed every check a machine can do.
  3. Measure where the hours went, as well as how many were saved.

Basis of figures: application volumes, pipeline stages and interview counts from Workable system data, June to September 2026. Hours and screening effort: the recruitment lead's own estimates, September 2026. Baseline and targets: the business case agreed with the client, March 2026.

Expert know-how turned into a client self-service tool

Hyde's value sits in what its people know about each country's rules. That knowledge lived with a few senior people and in country files, so every client question needed a lawyer to look it up by hand. We worked with the firm to get it out of people's heads and into a system that the whole firm, and its clients, can use.

Our roleKnowledge capture, product design, launch plan
StatusIn progress

What we did

  1. Capture. Worked out with the owner which questions clients really ask, and what an answer must, and must never, claim.
  2. Structure and check. Turned national frequency plans into structured data. A pilot used AI to extract four countries, and people checked every result.
  3. Design. Designed one way to search, show results and explain footnotes for every country, with sign-in and sharing, and wrote it up as requirements for the developer.
  4. Publish. Clients look up allocations themselves, at any time. The launch plan starts with Hyde's existing clients.

What it makes possible

A new client serviceAnswers that clients used to wait for become something the firm can offer on its own terms.
Faster, consistent adviceLawyers answer from one checked source instead of searching old files.
Ready for safe AI useChecked, structured know-how is what AI tools need to draft first answers, with a lawyer reviewing every one.

Longstaylanka.com: from business idea to launch-ready product

Long-stay villas on Sri Lanka's south coast are spread over hundreds of small websites, so a family planning a month or more has to search them one by one. The founder wanted one catalogue, run lean enough for one person. We designed the business model, an AI-first way of running it, and a working product built and tested with AI tools.

ClientLongstaylanka.com
SectorTravel, long-stay rentals
ScopeBusiness model, operating model, product
StatusPre-launch

What we did

  1. Business model. A free catalogue without owner details, a self-service unlock for contact details, and a paid villa search service.
  2. A lean, AI-first operating model. A design one founder can run: AI tools do the research, data and content work, and payments and unlocks run on their own.
  3. Rapid prototyping. A working prototype first, then refined screen by screen with real villa data.
  4. Assisted build, test and deploy. Built, tested and deployed with AI coding tools on Next.js, Supabase and Stripe, against a go-live checklist for legal pages, payments and analytics.

What it means for your firm: the same approach works when you want to launch a new service without adding headcount.
